AVReady is operated by Superior AV Solutions, Lafayette, Louisiana.
Account Information: Name, email address, phone number, company name, and billing address when you create an account.
Project and Service Data: Information you provide about AV projects and service work, including room details, equipment preferences, client information, construction milestones, service tickets, invoices and payments, and uploaded documents (floor plans, inspection photos).
QuickBooks Online Data: Only if your company connects QuickBooks Online - see section 4.
Usage Data: How you interact with the Service, including pages visited, features used, and device information.
Payment Information: Credit card details are processed and stored by our payment processor (Accept Blue) and are never stored on our servers. We retain only the last 4 digits and card type for display purposes.
We use your information to: (a) provide and improve the Service; (b) process payments; (c) send transactional emails (project notifications, invoices, billing receipts); (d) provide AI-powered recommendations and summaries; (e) respond to support requests.
We do not sell your personal information to third parties.
AVReady's AI features - including the AI consultant, plan analysis, and the summaries AVReady writes on service tickets - are processed by Anthropic's Claude API. A ticket summary is built from the ticket itself - its description, notes, comments and work times - and that content is sent to Anthropic to write it.
No QuickBooks data is ever sent to an AI service. Anthropic does not use data sent through its API to train its models, and we do not use your data to train AI models. Project data may be used in aggregate (anonymized) to improve recommendation accuracy.
An AV company can connect its QuickBooks Online company to AVReady. Only the company's owner or an admin can connect it, by signing in to QuickBooks and approving the connection.
What AVReady stores: the connection keys QuickBooks issues; the QuickBooks company's id and name; a copy of its customer list (names, emails and phone numbers), used to match QuickBooks customers to your AVReady clients; a record of the invoices AVReady puts into QuickBooks; the invoices billed in QuickBooks that AVReady brings in to show what a job has collected (number, date, lines, tax and total); the payments recorded in QuickBooks against those invoices; and the sales tax rates QuickBooks gives for your job sites. Nothing else is read or kept.
Encryption: the connection keys are encrypted with AES-256 before they are stored. The encryption key is held in a separate server setting, never alongside the data.
No sharing: QuickBooks data is never shared with or sold to any third party, never sent to an AI service, and used only for the features described here. It stays with the AV company that connected it.
Disconnecting: you can disconnect at any time from Settings → Integrations in AVReady, or from the Apps page in QuickBooks. Disconnecting deletes the connection keys and asks Intuit to revoke them. The records already brought in stay in your AVReady account until you ask us to delete them.
Deletion: email support@avready.io and we will delete your company's QuickBooks data from AVReady.
We share data only with: (a) service providers necessary to operate the platform (Vercel and Supabase for hosting, Anthropic for AI, Resend for email, Accept Blue for payments); (b) Intuit, only when your company connects QuickBooks Online, and only your company's own records moving between AVReady and your QuickBooks company; (c) other users you explicitly share with (e.g., your AV company sees your project briefs); (d) law enforcement when required by law.
AVReady uses cookies only to keep you signed in. Your browser also remembers a few display choices on your device, such as light or dark theme and which panels you have open. We do not use advertising or tracking cookies.
We use industry-standard security measures including encryption in transit (HTTPS only), encrypted storage of connection keys, row-level security policies, and secure authentication. Payment card data is tokenized and never touches our servers.
Active account data is retained for the duration of your subscription. After cancellation, data is retained for 90 days, after which it may be permanently deleted. You may request data export or deletion at any time by contacting support.
You have the right to: (a) access your personal data; (b) correct inaccurate data; (c) request deletion of your data; (d) export your data in a portable format; (e) opt out of non-essential communications.
